Through experience and having a solid system in place, you can easily and more efficiently crank out all your tasks and maximize your daily routine’s productivity.

How does a Pinterest VA manage their time?

While all of us think and learn a little bit differently, I can’t give you a definitive way to do something and guarantee it’ll work best for you. But I can tell you what works for me.

I am a huge fan of block scheduling. Block scheduling is when your day is broken down into fewer tasks that are worked on for a longer period. When I’m not committed to a block schedule, I can easily have my attention pulled away to another task. For instance, I could be writing this blog post, but suddenly think, oh yeah, I should go check my email, post to Facebook, see how my traffics doing, reply to that text, etc. You get the idea. Then a few hours later realize, I started many tasks but completed none! Ugh!

Using Trello for task management

That’s where Trello comes in. ?

I am, by nature, a list maker. If you could see my phone’s home screen right now, you’d notice that I have 8 list widgets on one screen! That might be a little excessive, but necessary to drive my point home, I LOVE LISTS!

Trello makes it their mission to boost productivity and efficiency by allowing you to create all kinds of boards, lists, and cards. Thus making it the list lover’s dream come true! What’s more, you can even add team members (your clients!) to each of your boards. That way, they can have a good idea of what projects you’re currently working on and when they’re completed. Best of all, you can easily upload high-quality .png files, making it perfect for showing your client any pin designs you’ve created for them!

Do you need the paid version of Trello? In my opinion, no. The free version of Trello has all you’ll need to manage your Pinterest VA tasks and then some! However, their membership plans do come with lots of awesome Power-Ups that allow you to customize and integrate various productivity-boosting apps into your boards.

What is a Pinterest VA’s daily routine to supercharge productivity?

I prefer to work 9-5. One of the greatest advantages of being a Pinterest manager or VA is that you have the flexibility to work on your own schedule, so this can vary quite a bit from VA to VA and how many clients they have at the moment.

Here are 2 examples of what your day could look like:

Option 1: Work on tasks for several clients

  1. 9:00 am – 1:00 pm: Spend 4 hours working on pin design for client #1
  2. 1:00 pm – 5:00 pm: Spend 4 hours working on Tailwind scheduling for client #2

Option 2: Work on several tasks for one client

  1. 9:00 am – 12:30 pm: Spend 3.5 hours working on pin design for client #1
  2. 12:30 pm – 1:00 pm: Eat, drink, stretch your legs!
  3. 1:00 pm – 4:00 pm: Spend 3 hours scheduling pins in Tailwind and from Tailwind Tribes
  4. 4:00 pm – 5:00 pm: Use Google, Tailwind, and Pinterest Analytics to write a monthly report for client #1

How much time does a Pinterest VA spend on each task?

It’s hard to say how much time you’ll spend working on each task before it’s completed since all Pinterest VA tasks can be slightly different. For example, let’s say you need to schedule a month’s worth of pins in Tailwind.

If you’re new to Tailwind for Pinterest, this task will likely take longer. When I first started scheduling, it took me over 10 hours to get a month’s worth of scheduling done. As you grow more experienced, this time can be shortened. There are also tons of Pinterest marketing tools out there that are easy to use and have time-saving benefits.

Making pinnable images is the same way. If you’re making pins in Canva, with experience, you’ll be able to create 20 fresh pins in under 15 minutes by learning a few tips, tricks, and easy keyboard shortcuts that make pin creation much easier and quicker to execute. Recently, Pinterest started giving video and story pins a boost in its algorithm, so that may be a task you want to keep in mind to offer your clients.

With time, experience, and confidence, you’ll be well on your way to supercharging your productivity! Trust me, I live in a van and still get my work done. In no time, you’ll be able to increase the number of clients you can feasibly take on and make more money!
